TIME TO UPDATE YOUR OPERATING SYSTEM

It’s a new year, and the new year is normally a time to reflect on the year past and make some new year’s resolutions. Yet at Meta we think that’s missing out on a trick. Sure, we may review our personal lives and the habits and systems we have there, but we rarely do the same thing with the habits and systems we have in our work life. We just make do and mend, and do the best we can within the operating system we currently have in our workplace. Now I am not talking about what computer operating system you are running at work, and yet the computer analogy is a good one, because many of us are working in organisations that are running an outmoded ‘operating system’.

Last year I went into my local computer repair shop to ask if they could upgrade my Apple Mac computer. I’d found that my computer wasn’t working very well, it was no longer able to function effectively and it was noticeably slow and inefficient. I was told, by the very nice man in the shop, that my Mac was a ‘vintage’ computer, (it was about 10 years old), and that really I needed to update not just my operating system but my whole computer!

Just before Christmas, I bit the bullet and I have a new mini mac now – in fact I’m writing this update on it. The appearance of the computer is familiar, but it’s been changed somewhat, with new features that make it easier to operate and more accessible, even to a techno-phobe like me! It’s noticeably faster and is more effective in everything it does. This is because Apple talk about ‘evolution not revolution’ in their design and manufacture. They evolve ideas and grow them in a sustainable way, sometimes much to the frustration of technology reviewers, who want the next revolution!

So how does this analogy relate to you? To your workplace? To your organisation?
Well, it’s time to look at your computer (your organisation) and your operating system (its culture). Firstly, ask yourself whether you need a new computer – or do you just need to update your operating system?

You see, right now, there are two main systems operating in all workplaces, no matter what sector you are from. There is the old system – command and control; management not leadership; espoused values not lived values; it’s all about the what not the how; and short term profits above long term sustainable growth. And there is an emerging new system: one where the job gets done and the profits are made, but not at the cost of the culture of the organisation or the long-term vision. This system is one where people work smarter not harder, where they are valued and seen as more than just a resource; where our potential is encouraged and developed, where we are allowed to shine; and the values are not just printed up on posters and on your screen saver, they are lived by every leader and every manager. In this workplace, leaders inspire, develop and motivate their staff. It is a place where innovation and creativity thrives, and where people LOVE to come to work.

“Where is this place??” I hear you cry!

“Surely this is some utopian dream, not achievable in the ‘real world’ of business, Jo!”

Well, I strongly disagree. It’s here and it’s NOW. The hunger for it exists right now in every person we come across in the work that we do. And the means to make it happen exists too. All it requires is an upgrade in thinking and a shift into action.

It’s time to stop equating success with short term profits, it’s time to stop using the excuse of the financial crisis to keep on promoting bad working practices. It’s time to stop letting the old system and its underlying fear run the show. It’s time to stand up and say: “I WANT A NEW OPERATING SYSTEM! I want to be part of the upgrade, part of the evolution of the organisation. I want to be part of the move towards a different way of working.”

You see, I’m not talking about revolution here, I’m talking about evolution, the evolution of how we work. It’s time to bring the humanity back into business, it’s time to move forward in our thinking. Many of the business practices we see right now are outmoded and proven to be ineffective. Many people (and yes, that includes you, probably) put up with unacceptable organisational practices and behaviours that you would not tolerate in your everyday life.

So maybe it’s time to not be tolerant anymore. Maybe 2014 is the time to shift the thinking in your organisation. Maybe this year is the time to upgrade and update your operating system and move into a 21st century way of working, that taps into the potential of your staff. And what is that way of working? How can you upgrade your operating system (your culture) of your organisation?

DO SOMETHING DIFFERENT

Have you noticed how much of our lives tend to slip away in routine? Some of it consists of habits and customs we develop to allow us to live on automatic pilot.  Other parts are accepted norms of behaviour that we don’t question. Examples include what we eat and when we eat it, where we sit, in our home and in meetings, what we say to people as a greeting – the list goes on!

There is a usefulness to routine – it allows us to think about something else, or not think at all!  But it can also close down our creativity, our curiosity and even our consciousness of being truly alive.

We all tend to enjoy a break from routine, such as a holiday, and re-find our sense of fun, our vitality.  My question is, why wait?  Every day we have an opportunity to do something different, to take a break from routine, and re-vitalise ourselves.  Sometimes it may be on a grand scale: a friend of mine recently decided to take two of those days in lieu that often accumulate at short notice, and just got in the car and went somewhere she had never been to before, with nothing booked or planned. It was a lovely adventure that gave her back her energy. Or it may be on a small scale: yesterday I cooked a recipe I have never tried before, and it was delicious!

And what about at work? How many routine reactions do you have? What do you ignore that makes you uncomfortable? What do you accept that you really find unacceptable?

Just imagine how much better workplaces would be if only we challenged more, asked for proper explanations, as our routine, instead of simply thinking that it had to be that way. If we didn’t simply accept the status quo, we would feel better and the world would be a better place.

When we do something different, we wake ourselves up again, remind ourselves that life is an exploration, and we are here to learn, to be creative, to make things better, and to have fun.  We revitalise ourselves and tap back into our inner child, who thought life was meant to be good, and always getting better. Don’t let life slip by – do something different today!!

  1. Suggest a better way of doing something at work today
  2. Make one change in your routine today and notice what effect it has on you.
  3. Do something different in one of your ‘routine’ interactions – smile at someone you usually frown at, talk to someone you usually ignore, give a different response next time someone says, “how are you?” – and notice the effect on you and the other person.
  4. Plan to do something really different – go somewhere you’ve never been, experience something you’ve never tried.

EMOTIONAL RESILIENCE

How many times in a week, a month, do you find yourself thrown by something you weren’t expecting: a negative reaction to something you said; someone being awkward when you were expecting co-operation; an extra meeting put in the diary in the space you were going to use to catch up – the list of possibilities goes on and on!

An aspect of emotional intelligence that we don’t often pay attention to is our emotional resilience when something unexpected happens. The word resilience means originally to bounce back

It is so easy to get knocked back in our culture. We tend to see the world as conspiring against us anyway, and so fall too easily into self-pity and being a victim of circumstance. This is not because we are naturally pessimistic, but because we are surrounded by confirmation of the cultural belief that most things don’t work in our favour, unless we are very lucky! The media, the news we are given, our everyday comments on events, all suggest that the world is not on our side.

Resilience has a foundation in the belief that things do work out, and that we can have control of how we live our lives. Although you may have evidence given to you that this is not true, when you stop and examine your history, you will realise that there is also evidence that it is true, that things do work out as often as they don’t if not more so.

The belief that things work out is very useful, because it prompts you to find a way to make things work, no matter what happens.

This doesn’t mean that you have to be happy about everything that happens, or positive – that would be being a victim again. After all, resilience is bouncing back – you need to fall or hit the wall first!

When we develop emotional resilience, we react differently.

a.       We forgive ourselves if our initial reaction is negative, and just let it go.

b.       We pick ourselves up and get on with things, just like a child who has fallen over when learning to walk

c.       We take a deep breath and choose how to respond to the situation, in a way that leaves us feeling OK with it.

d.       We consider what the learning is for us in the particular circumstance, and actively take the learning.

So this month, take a little time to develop further your emotional resilience:

  1. Take an example where life dealt you an unexpected blow in the past. What have you/could you learn from it, in a positive sense?
  2. Identify 4 ways in which the world has conspired with you, by offering you unexpected changes that were useful to you.
  3. As you receive some ‘knock’ this month, stop and go through the process stated above.

HOW ARE YOU THINKING?

Often, when we are pensive, others will ask us what we are thinking about.  There is a more important question: How are you thinking?

It is how we think about things that has a dramatic effect, on both us and what happens.  Consider it for a moment.  If you are thinking about your summer holiday, it can have a different effect on you, depending on what sort of thoughts you are having.  Remembering the fun you had and feeling again the sense of relaxation and happiness will make you feel good, and ‘feed your soul’ for whatever you are doing now.  Adding to that memory, thoughts like: ‘I wish I was there now instead of here’ will create some resentment and reluctance in your performance in the here and now.

Similarly, when we think about the future, if we imagine things working out, we approach them with a positive mind-set and generally manage to overcome any obstacles.  However, if we are anxious or negative about them and imagine things not working out, we approach them in a way that betrays our feelings about them and often create the very story we didn’t want.  On top of that, we approach what we are doing immediately with that same mind-set and often upset other apple-carts that had nothing to do with what we were thinking about!

Because we think all the time, we are often unaware of the fact that we are in control of our thoughts – we can catch ourselves and choose to think in a different way about things

If we stop the spiral of negative or anxious thinking in ourselves, we do ourselves and the world a favour.  That sort of thinking creates stressful chemistry in our bodies and wears us out, physically and emotionally.  And it doesn’t help us to deal with things better, it perverts and narrows our perspective and wisdom.  The knock-on effect is that we deal with whatever we are doing less effectively and, with the people around us, less usefully.

On the other hand, choosing to have more useful thoughts calms our body chemistry down and reduces our stress, leading to us being more effective.

So, how do we choose to have useful thoughts?  When you find yourself in that negative spiral, ask yourself some of these questions, until you find one that works:-

What different angle could I take on this?

  1. How would someone who wasn’t anxious or negative about this be thinking about it?
  2. Is how I am thinking about this helping me to deal with it and, if not, what would be more useful?
  3. What would distract me from thinking about this at the moment, so that I can regain some perspective?

Our thoughts are very powerful in creating our realities which means that it is worth our while to take back control of them, so that they are more useful in creating the reality we want.  So have a go – don’t let them run the show!!

WHAT ARE YOU PAYING ATTENTION TO?

When I was a child, I had a magic torch – did you? If you turned it on and switched it round, it shone different colours at things – red, blue, green, and yellow – I loved it! It changed how everything looked depending on which colour you used.

Why am I describing this? Because our minds work in the same way. If your mood is ‘dark’ or ‘blue’, then everything you think about takes on that colour. The sun shining becomes a problem rather than a delight, and then it rains and we are bound to have floods! Someone’s chance remark is obviously aimed at making you feel stupid, and then the next person you encounter doesn’t speak, and you know they are ignoring you because they don’t like you!

On the other hand, when you are feeling ‘sunny’, then it is wonderful to have a sunny summer, and when it rains, that is great for the garden. You laugh at the remark someone makes, knowing that it isn’t aimed at you, and you feel sorry for the person who doesn’t speak to you, because they are obviously so busy they don’t even have time to say hello.

And all this is not out of our control – it is something we can switch around if it doesn’t suit us, just like the torch. Our minds follow what we tell them to follow. So if you notice that the day seems to be going wrong, switch the torch of your attention around – turn it to sunny. Begin to notice what is right about the day, and if you can’t find anything there, go for the bigger picture – what is right about your life, your family, your health – any category where there are things that are going right. This will switch your mind to a more useful beam of light.

Remember that our culture tends to have the ‘dark’ beam on, so we need to counteract that – the news is almost all about what is wrong in our world. We hear about the person who injured someone else, but not about the thousands who were being kind to others at the same time. So you need to help yourself to switch the colour of the beam by choosing not to get taken in by the cultural tendency – stop watching or listening to the news for a while, or subscribe to Positive News, a newspaper which reports the good things happening in our world.

Why is it important that we consciously switch our attention to what’s right? I can hear the cynic saying that it is like wearing rose-coloured spectacles, and is avoiding the real world. But excellent people don’t ignore what is wrong; they just approach it from a different angle. They start by counting all that is working, to give themselves a positive and useful frame of mind, then ask themselves what they can do to handle what is not right. From that useful frame of mind, we are able to find much better ways of handling the situation – we all know that when our mood is sunny, we can sort most things! And if we can’t sort it, at least we can keep it in perspective.

So start practising today, whether you need to or not. Put on the sunny beam and notice what is right in your life, in the world.

KINDNESS – THE SMARTER WAY TO WORK

You know these days it seems that we are bombarded with images of business as a ruthless place –  it’s dog-eat-dog and survival of the fittest. You only have to look in the media to see what are held up as examples of businessmen and women; it’s arrogant young sales people in ‘The Apprentice’ or those multi-millionaire ruthless entrepreneurs in ‘The Dragon’s Den’. But is this really the best way to do business? At Meta we think there is a better and a smarter way to work, one that builds relationships and creates an environment where everyone can thrive, and it requires just one simple ingredient: KINDNESS.

Think about it for a moment: the places that you have enjoyed work the most, the teams and managers that you loved the most are the ones that valued you, encouraged you, supported you and gave you the opportunity to grow and learn. They were the places where kindness was just the way we did things, where someone was happy to cover you while you went to pick up your kids from school, where someone was happy to help when you were stuck on a report, when someone was there to support you when something went wrong. You see, these acts of kindness are written into our very DNA. We have misunderstood what Darwin meant in his theory of ‘the survival of the fittest’ to mean that we have to look out just for us, that only the most ruthless survive. But actually the ones that have survived through our evolution are those that have worked and co-operated together. We need to get on with those around us in order to succeed!

We understand that in the core of our being, and in our personal lives most of us will be generally kind people. However, for some reason, that doesn’t always translate into our work personas. Maybe it’s because we believe the business myth that we must be ruthless at work in order to progress? However, we believe at Meta that kindness is the smarter way to do work.

Just think about it. If someone abuses his or her authority to make you do something, how do you feel? Will you help them out next time they need you? If someone forces you to do something, because they can, how likely are you to do something for them? If someone is ruthless and self centred, how popular are they in the office? If someone is always playing the political games and stepping over others to get what they want, how likely is it that they have many true friends and allies in the office? If you have a boss that is always picking on what you do wrong and never noticing what you do right, how does that make you feel about them?

You see the ruthless person might get a short-term result but they will not earn the respect and trust from their work colleagues. They damage the long-term relationship for short-term gain. They will always lose out in the end.

And what of kindness? What can kindness do for us?

When we are kind, it creates a kind of domino effect; as we are kind to others, so they will be kind to others. It’s known in scientific terms as the  ‘ripple effect’. It also makes us feel good when we do it. It releases many of the happy chemicals in our brain and makes us and the person we are being kind to feel better. So the more we do it and the more benefit we see, the more likely we are to do it again.

So what do you want your ripple to be today? Do you want to be a force for good? Spread kindness in your workplace?

I don’t think ANY of us want a ruthless and negative workplace. We all want to be respected, valued, supported and developed. We want our team around us to be kind, friendly and we all want to have more fun! So how about we start by being kind? Practice little random acts of kindness – nothing major: helping out a colleague when they are stuck on something, saying thank you a little more often, making the tea, and getting the doughnuts in for the team, being a friendly, supportive ear to a team member, going that extra mile for your customer, sharing your expertise with another.

Its not difficult, and it can make the world of difference. So spread a little kindness in your office and see what it does for you.

IS YOUR THINKING USEFUL TO YOU?

Do you ever stop and think about your thoughts?

I know, that sounds strange, doesn’t it. Our thoughts just seem to happen on their own, like our breathing or walking. Yet they are actually created by us, whether we are aware of it or not.

As small children, we seem to have an inherent way of thinking which is useful: we look for the fun in things, we expect things to work out, we have another go if something doesn’t work out the first time round without seeing it as failure, and we are creative and imaginative in our approach to life. Then we learn the ‘normal’ way of thinking, through the influence of those around us: to fear new things, to doubt our own ability, to judge and criticise others, and ourselves and so on.

In Meta, we call these learnt thoughts the inner commentator. We believe that we collect these types of thoughts as children, because we want to be looked after and approved of, to fit in. So although they aren’t our natural way of thinking, we adopt them, because they lead us to behave in ways that fit with the norm, and not challenge the world we live in.

However, when we are grown up, we have the right to check out whether this way of thinking is still useful to us. Notice that we use the word ‘useful’. This not whether it is right or wrong, just whether it makes our life easier or harder, more enjoyable or less enjoyable.

Our thoughts are not just thoughts – they lead directly to expectations and specific behaviour. So they are a very powerful driver for how we live our lives. We say things like: ‘I thought this would be a difficult meeting’, and can be surprised by how often our thoughts are self-fulfilling prophesies, yet the fact is that the thought leads us to expect the meeting to be difficult, and we then unconsciously give off all the non-verbal messages that that is what we expect, and look for the evidence that we are right – we actively make it happen without realising it. No wonder we are so good at self-fulfilling prophecies!!

There is now a considerable amount of research, which backs this up. (For more detail, see ‘It’s the Thought that Counts’ by Dr. David Hamilton). Our thoughts affect how we are physically, mentally and emotionally, and create our experience of life. They are the differentiating factor that causes two people to go through the same event yet have two totally different experiences of it.

And the research shows that thinking usefully actually improves our health and longevity, because our own less than useful thoughts cause stress on our immune system and damage our health, whereas useful thoughts and a more positive experience of life causes us to release more health-giving hormones.

So, once in a while, when life seems hard, stop and notice your thoughts. Could you have a more useful thought about what’s going on? Is this person being awkward or are they having a bad day? Is this work boring or easy to do without much effort? Are you fed up or wondering what would make you feel better about things?

We have a wondrous tool for making our own lives easier, and we do have control over it – we can choose how we think about things. They are your thoughts; choose to make them useful to you!!

REGAINING PERSPECTIVE

Have you ever had that one small thing that didn’t go as you wanted?  I say ‘small thing’ but of course, I mean that thing that becomes the only thing that happened that day!!  Somehow, no matter how much goes right in a day, the one thing that doesn’t is the one that takes over your thoughts, your view of yourself and others, and your mood.  We know, logically, that it is a minor part of our life and that we will probably forget it eventually, but emotionally, it fills our world.

So how do we regain our perspective when something catches us like this?

The first task is to distract ourselves.  Our thoughts are busy reinforcing that we are wrong, or were wronged, and finding more and more reasons for being upset or angry, so we need to get out of the spiral.  What makes you forget everything else that is going on?  Is it music, a jigsaw, a good film, a hobby you love, playing with your children?  We need a repertoire of these distractions to call on when this happens, so as to create a space that allows our mind to begin to regain perspective.

Secondly, we need to recognise that the reason something can take over our world like this is that it is linked to something important to us emotionally: maybe someone made you feel small, or stupid, and that hurts; or you made a mistake, and you always want to get things right.  There are lots of possibilities, but most times it does link into some breach of our core values in some way.  So, what was it about the event that upset or angered you?  Now consciously find at least ten counter-examples of when this core value was supported: people liked what you did; you were thoughtful, etc.  This is to remind yourself that your world really isn’t not working all the time!!

Thirdly, we need to forgive.  If others were at fault, see them as children who don’t know any better and let it go.  If you were at fault, remember you are only human, and if you got it right every time, you would be divine!!

By now, you will be beginning to regain perspective, so take a breath, and reward yourself with a treat!  You’ve just put yourself through the mill and started working to put yourself together again, so you need a little pampering!  Be kind to yourself, as you would to a friend who had been through the same thing.

Finally, it’s important to do what you can to avoid a similar battering in the future, so ask yourself: ‘What will I do differently in this sort of situation in the future?’  And, for a moment, see yourself using the alternative approach.

Above all, remember:  most of the time, your life works pretty well!

WHAT IF WE WOKE UP TO GOOD NEWS?

I sat down the other evening, mulling over what my day had been filled with and what tomorrow would hold. The T.V. was on in the background and the local news reader was reporting on the day in the region I live in.

It dawned on me that almost everything that was being reported was either filled with dread or contained a negative slant of some kind.

It was also at that point that my head did its usual thing of wandering off to find a nicer place to sit!

While it was there in “Better Place”, it picked up a paper that had been left on a bench.

At the top of the front page of the paper was the name of the paper – THE SUN.

But this was a different paper, no red top banner; instead it had a big circular sun in bright yellow. Inside the big yellow circle was a smiley face.

The slogan next to the big yellow sun was “The happy people’s paper”.

At first glance the front page story looked like any other National Paper – a picture of a person crying. On closer inspection, the story headline explained the tears; “With a little help from my friends”.

The story on the front page of this paper was about a lady who had lost her job due to the economic cutbacks being faced by everybody across the country.

Not one to sit around, she decided to use the time she now had to do something she had always wanted to do – Gardening.

Starting with her own garden, she transformed what was a neat, tidy garden into a horticultural masterpiece. This prompted words of amazement and wonder from her neighbours. This quickly spread to the rest of the street and further across the town she lived in.

Soon, there were knocks on her door, people from surrounding towns wanting to see this now well publicised garden. It turned out that the people of this town had spread the word. It was their way of letting people know that this woman was valued in their community and needed a little help. As part of their story, they had told of her plight, that she had lost her job but had used the time she had to make something beautiful rather than just slip away, not be seen and become a statistic.

Going back to the front page picture on the paper, the reason for the tears was that one of the people that knocked on her door happened to be the owner of a landscape gardening business and was so impressed with the lady’s efforts, they offered her a job! – Tears of Joy!

Now she has a job again, doing something she truly loves and all because the people that live around her rallied round someone when they were having a hard time trying to cope with all the bad stuff.

Of course, my head came back to sit in “This World” and thought about where it had just been in comparison to where it was now.

We have many different mediums for communicating news these days. Technology has expanded this into almost every home in the country. But nothing has ever come close to creating the impact that human behaviour can.

No newspaper or news programme can ever be more powerful than the human spirit either. When we combine to “do good”, we create magic – And you can’t deny just how good it makes you feel when you have been part of something good!

Whether it’s a donation of money or time to your favourite charity, or popping over the road to see if a neighbour is okay or just wants a chat and a cuppa, let’s create a better newspaper to pick up each morning –

We can do it with a little help from our friends/neighbours/colleagues etc, etc…

“FOUR YEAR OLD FEET”

So, you’re beginning the day, you gently swing your sleepy legs over the edge of the bed and stretch – the same as you do every morning.

You look at the clock, 6.30am again – Same as yesterday’s clock. That floorboard creaks as you walk on it, reminding you that you must do something about it. The tiles at the bottom of the stairs are cold on your feet, reminding you that you forgot the slippers again.

And so it continues, you’re daily routine. The cups, the two sugars, the saucepan and porridge oats.

The slightly impatient call from the bottom of the stairs to the sleeping family that lets them know you have given them an extra 5 minutes slumber!

How quickly we fall into routines that, over a period of time become uninspiring and enhance that feeling of monotony.

But wait…. the sound of smaller, lighter somehow excited feet are heard.

These are feet that woke up with a purpose – These feet wanted to feel that carpet squirming between their toes!

These feet now want to jump down those stairs in front of them – maybe from the top all the way down! They thrill at the cold of the floor tiles underneath them at the bottom of the stairs, making them move faster.

Attached to these feet are also two excited legs and a body that holds up a face that is brighter than sunshine. This is because through these eyes, nothing looks the same!

In the world of this four year old, every day is new. The previous day is somehow partially wiped from memory so that the opportunity to create magic today is presented.

Every task or challenge, from waking up to getting dressed or brushing teeth is embraced with gusto!

We live in busy times, our lives are sometimes so full that we just climb on the treadmill with everyone else and join the queue, not really thinking about where we are heading because it’s the same as yesterday.

So the challenge is…. slip back into those four year old feet again tomorrow morning and feel the carpet between your feet; look out of the window at a new and different day and grab it with both hands.

Re-frame what always happens into something with a wonderful, slightly odd and exciting feeling, the one you lost touch with when younger – And love it. Then at the end of the day, sleep soundly and dream of where those four year old feet might take you tomorrow?
