IMPROVING TEAM MEETINGS

I have struggled over the years to get team meetings to work well.  There have always been some inherent conflicts I have never really managed to balance.  Whether to allow the conversation to flow freely or to keep strictly to time, when I knew that digressions would often lead to moments of inspiration.  How to keep the whole team interested, when I was keen to understand how each of my team were doing.  Over the years, I tended to vary the format, as it became stale, or as the excuses for non-attendance grew.  Yet, the “right formula” remained elusive.

When I think about the best meetings I have had, as opposed to analysing what’s going wrong, I get a different picture.  In these meetings, people are engaged; the conversation flows and laughter can be heard.  I realise that it is not about having a repeatable formula.  It is about team members feeling engaged as a true member of a real team.  The “chemistry” happens not due to a formula, but when they have been working on something that interests him or her and when they feel their contribution has been useful and valued.

Those meetings finish naturally, not when the chairman says so.  People leave invigorated and refreshed, not relieved or depressed.  The team are re-united and strong again.  The buzz of the meeting often continues into the corridors and onwards to the vending machine.

I have also come to realise that I always had my interests at the front of my mind.  I needed to understand what my managers were doing, what issues they had, where they needed my help or the help of others.  On reflection, they should have been called “my meetings” not “team meetings”, as they were really there to ensure I felt fully informed and in control.

How different it could have been if I really trusted them to do their jobs and used the team meetings as a way of harnessing their collective skills and energies.  So, if you run team meetings in a conventional way and they feel somewhat stale or sterile, this month’s workshop is to encourage you to think differently about them – to make them truly “team meetings”.

Ask yourself whether you are using team meetings for your own ends e.g. as a means of keeping you better informed or for exercising control.  If so, are there other ways of achieving this (as you are not using people’s time effectively!) e.g. making better use of one-to-one meetings.

  1. Choose a single agenda item where you could usefully use the team to collectively resolve.  Ideally choose something where everyone has some level of personal interest in the outcome.
  2. If possible, use an experienced facilitator to guide the meeting, capturing key points.  This allows you, as team leader, to contribute alongside others, rather than to direct the discussions.
  3. Step back and enjoy the interaction and energy as the team starts to work together, resisting the tendency to take control or act as timekeeper.
  4. Recognise when the energy level naturally subsides, resisting the temptation to complete the task, but allowing it to come a useful resting place.  Then spend a little time reviewing where you are, what needs to be done next and agree a time for getting together again.

I tend to measure the effectiveness of such meetings by the amount of laughter heard and by how easily people can magically find space in their diaries when they are looking forward to something!

We have been following this approach in our team meetings at Meta, when we realised a few months ago we were falling into the “formula trap”.  We have had some inspired sessions and our meetings are far more enjoyable.  They now feel like proper “team meetings”.

A DAY FOR YOU

One of the most significant parts of being on holiday and on retreat for me was the practice of taking a day just for me. What does that mean?

It means choosing what you want to do without having to take others into account, and without the pressure of all the ‘oughts’ we usually have on our lists.

There were days when all I did was stare into space for hours, just being with the beautiful countryside. Other days were quite active, setting off early in the morning and deciding to visit something along the way that looked interesting.

Can you imagine giving yourself permission to have a day just for you? It is a wonderfully refreshing thing to do, and gives you a level of energy that can make the following days much more productive.

Homework

  1. Identify a day in your diary when you could do whatever you wanted to
  2. Either decide in advance what you will do, and have fun planning it
  3. Or allow yourself to wake up on the day and decide according to your mood and the weather
  4. As you go through your day, pay attention to the simple pleasures of life, and to your own needs, so often suppressed. If necessary, change your plans in response to yourself.

Experimenting

Why do we have to get it right first time, every time, or else we feel bad? It just doesn’t fit with our experience as humans does it? And it certainly doesn’t fit with being a learner! Actually we don’t call it experimenting, we call it ‘getting it wrong’ – no wonder it makes us feel bad!

Yet the way we grow in our lives is by trying things out, and gradually establishing what works for us. No, it’s even more than that, it is continually experimenting, because what works for us at one point, may change within moments, and as we move into it, we can see even more possibilities.

As children, this way of growing into our true selves comes naturally to us. We love to experiment and find different ways of doing things, thinking about things, and reacting to things. It is only a taught behaviour to try and find the ‘right’ answer that will last forever.

So let’s be children again! Let’s experiment and play with ideas and approaches. And don’t feel bad if your experiment is not perfect – be delighted that you have more exploring to do!

  1. Experiment with a different route home, or a new type of cereal for breakfast – anything that takes your fancy!
  2. Next time something doesn’t work quite how you intended, smile to yourself and say, ‘great! More experimenting to do!’ (OK, I know that’s a tough one, but it might at least make you laugh instead of being upset! After all, it’s not the end of the world!)

Tune in, Turn on, Chill out.

In the busy world of illusion, we have very little time to ourselves.

Everything has to be done now! – the kids need feeding, the garden needs weeding, got to get to work, got to go shopping, must visit dad, better do the hoovering, must put the washing on, gotta get home-we never stop! We never take a time-out from the hectic lives we lead.

We end up over-worked, stressed, out-of-balance, feeling empty/low/under appreciated, het-up and tense- so why not give yourself some appreciation, wash those daily hectic blues away!

In this month’s workshop we’ll be finding out about finding time for yourself.

How? It’s simple-really simple.

Just take 15 minutes a day that you dedicate to yourself. A time for you and you only, that no-one or no-thing can interrupt or interfere with.

Find a quiet place, sit in a comfortable position, light a candle or incense if you would like.

Put on some relaxing instrumental music or simply listen to the sounds of nature/life.

Close your eyes-and breathe.
Breathe in, breathe out – that’s all you have to do.

Initially your mind will probably fill with 101 things you have to do or sort out yet today, but just let the thoughts pass without connecting with them, and soon they will pass.

Continue breathing deeply, but naturally until the 15 minutes are up.

The great thing about this exercise is that it can be done anywhere: on the train or bus, as a passenger in a car, in the office, anywhere that you can shut your eyes for 15 minutes and breathe.

You should find yourself feeling lighter, thinking clearer and re-energised. Ideally it is a good start to the day and it is also good to aid peaceful sleep at night.

As you get used to taking the 15 minute ‘ Me Break ‘, you may find that 15 minutes is just not enough Me Time, so lengthen the time to suit your needs.

When you wake, or when you get stressed, or the strains of life are getting to you..

REMEMBER .. It’s time to:

1.Tune In: Find a quiet spot to tune in to your inner self and the body you inhabit.

2.Turn on: Just 15-20 mins a day gives you time to revitalise tired bodies and minds.

3.Chill out: Breathing deeply for 15-20 minutes will leave you feeling lighter, calmer and more relaxed.
